Regulations on Status Management for International Undergraduate Students of China Three Gorges University (Revised)

Chapter One General Principles

Article1 In order to maintain the teaching order for international undergraduates, assure the quality of talent cultivation, and in view of the reality of our teaching management, this Regulations is formulated in accordance with Administrative Measures for the Enrollment and Cultivation of International Students by Schools(Order No. 42 of the Ministry of Education, Ministry of Foreign Affairs and Ministry of Public Security), Regulations on Student Management of China Three Gorges University (No. 9, 2017〕,Student Affairs of CTGU), Regulations on Status Management for Undergraduate Students of China Three Gorges University (No. 38 2017, Teaching Affairs of CTGU).

Article 2 The Regulations is applied to the international undergraduate students and general visiting students who are formally admitted to our university.

Chapter Two Enrollment and Registration

Article 3 The new student shall present the original of the Admission Notice issued by China Three Gorges University, passport, X or F Visa, Visa Application Form for Study in China (hereafter referred to as JW201 or JW202) and Physical Examination Form and other relevant documents to register at the Department of International Relations according to the specified date.

Article 4 If the new student cannot register on time for unexpected incidence, the students shall explain the reason and ask for extension to the Department of International Relations. The extension shall not exceed 30 days. If the students fail to register within one month of the registration deadline, their admission will be canceled except for irresistible reasons (such as earthquake, typhoon, flood and so on).

Article 5 The Physical Examination Form (original) and the Laboratory Test Report of the new student shall be identified by relevant department. The students shall have another physical examination at the designated department if they fail to present relevant original physical examination materials. The qualified student can proceed to acquire the foreigner’s residence permit. The admission of those who are unqualified or in identification or examination will be canceled.

Article 6 The self-financed student shall be registered and enrolled only after paying all the tuition, accommodation fee and other relevant fees of one semester (for the students whose length of schooling is one semester) or one academic year (for the students whose length of schooling exceeds one semester) within two weeks after registration. Otherwise, the students will be automatically assumed as voluntary withdrawal.

Article 7 The new student shall present their health certificate, passport, Admission Notice, JW201 (or JW202) to Yichang Municipal Public Security Bureau to apply for the foreigner’s residence permit within 30 days after arriving in China. The students shall take full responsibility in case of failing to apply for the residence permit in time. The students transferred from other university in China shall present passport, valid foreigner’s residence permit, transfer certificate and Admission Notice of China Three Gorges University to Yichang Municipal Public Security Bureau to process relevant procedures within 10 days after arriving in Yichang.

Article 8 The students shall present their student card to register at their college at the required time of each semester. If the students fail to pay the tuition fee according to the University regulations or meet other registration requirements, they shall not be registered. If the students cannot register in time for some reason, they shall explain the reason and ask for extension. The students who fail to ask for extension or register within 2 weeks after the extension will be assumed as voluntary withdrawal.

Article 9 The students shall not be registered without permission if they leave the school for suspension of schooling, reserve student status or other reasons.

Article 10 For student who fails to register in time for reasons such as not clearing tuition fees, they may attend the class with the permission of the college, but they do not enjoy any other rights as a regular student. The students will enjoy all the rights after registration.

Article 11 If the students want to select other courses, they shall register at the Department of International Relations within a week after the start of the semester. The students could attend the regular class, and the selected course could be specially scheduled if there are enough students selecting the course.

Chapter Three Study Discipline

Article 12 The students shall complete all the training process of each course earnestly according to the teaching arrangement and take part in all kinds of activities prescribed by the University.

Article 13 The students shall abide by the classroom discipline, study earnestly. The students shall not arrive late, leave early or leave classroom without permission.

Article 14 As one part of the evaluation of student’s academic performance, the attendance is included into the daily assessment results. If the students are absent for up to 1/3 of teaching hours of one course in a given semester (including approved leave), they are not allowed to sit the final examination of the course, and they could only sit the supplementary exam.

Article 15 The students shall submit a written application to leave for personal affairs or sickness (the proof of diagnosis by the doctor shall be also be submitted for sick leave).

Article 16 The procedure of asking for a leave, approval and reporting back from leave:

(1) The international students shall ask for a leave directly at their College by filling in a Leave Application.

(2) A leave within 3 days(including 3 days) shall be approved by the staff in charge of international student affairs in their College or Department; a leave longer than 3 days shall be approved by the college dean of department head in charge of international student affairs.

(3) If the students have to leave Mainland China, they shall present the Leave Application to handle visa, residence permit or related issues at the Department of International Relations.

(4) The students shall report back from leave after returning to the University by themselves in time, otherwise they shall be recorded as absence.

Article 17 The students who is absent without permission shall be recorded as absence. The students whose absences exceed at a given period in a semester shall be punished according to relevant university regulations.

Chapter Four Course and Credit

Article 18 All kinds of courses (including practical teaching, the same below) set in the talent cultivation plan is given certain credits. Students must take the courses prescribed by the talent cultivation plan, and obtain corresponding credits according to regulations. The students can graduate only if they complete all credits required by the talent cultivation plan.

Article 19 Credits are units used to measure student learning. In principle, one credit equals to sixteen contact hours, and one credit in practical teaching equals to one week.

Chapter Five Self-study

Article 20 If the timetable of re-study or supplementary courses for transfer student is completely conflicting with the timetable of regular courses, the students can apply for self-study within one week after the start of the course at their college and sit the regular examination. Score for daily performance is not included for self-study; only actual examination score will be counted. If the timetable of re-study or supplementary courses for transfer student is completely conflicting with the timetable of regular courses, the students can apply for not listening to the part of re-study or supplementary courses which is conflicting or cross-listening to part of the conflicted courses. Credit(s) will be given if the students pass the assessment.

Article 21 The students shall not apply for self-study in the following courses and teaching process:

(1) Physical education courses, experiment courses, etc.

(2) Practical teaching, such as: Basic Engineering Training, Cognition Practice, Production Practice, Graduation Practice, Course Design, Graduation Design/Thesis, etc.

Article 22 If there is a conflict between theoretical courses, practical teaching and examination, priority shall be given to examination, followed by practical teaching, and then theoretical courses.

Chapter Six Course Assessment and Score Record

Article 23 The students shall participate in the course assessment prescribed by the University’s talent cultivation plan. Credit(s) will be given if the students pass the assessment, and vice versa.

Article 24 The methods of course assessment include examination and non-exam evaluation. Various forms of assessment such as close-book or open-book examination, oral test, written test and others could be used for examination. The evaluation is made up of the final exam (or the end of course exam) and daily performance. According to the nature of course, the daily performance accounts for 30-50% of the overall score. Generally, no formal final examination is necessary for non-exam courses. The evaluation shall be based on the students’ study attitude, attendance record, class participation, assignment, quiz, experiment report, course work and practical operation, etc.. The evaluation of the non-exam course shall be completed before the end of the semester.

Article 25 The University shall record and issue the students' academic transcript in a true and complete manner. The score obtained through supplementary exam, re-study, and re-exam shall be marked.

Article 26 The result of course assessment shall be recorded by Hundred-mark System, Five-level System or Two-score System. Hundred-mark System shall usually be used in examination courses, and Five-level System or Two-score System shall be used in non-exam courses. The result shall be converted into corresponding Grade Point.

Article 27 Method of Calculating GPA:

GPA=∑ (Course grade point × Course credit) / ∑Course credits

Article 28 For courses with experiment and/or assignment, students performance in the experiment (including experiment report) and/or assignment shall be included in student’s score for daily performance. If the students fail to submit more than 2/3 of the total number of the assignment or experiment report, they are not allowed to sit the final examination of the course.

Article 29 The students who have applied examination postponement according to Article 34 of the Regulations shall be marked as “Postponement” while registering the result.

Article 30 The students who are absent for examination without permission or fail to hand in the examination paper will be regarded as absent. While registering the result, they shall be marked as “Absence, and the result shall be recorded as “0”.

Article 31 Score for daily performance shall not be included in the supplementary examination, “60” or “Pass” will be registered for result which is “60” points or more or “Pass”, while actual result will be registered for result which is below “60” points or “Fail”.

Article 32 The students who are identified as Violating Discipline or Cheating will be punished according to relevant university regulations.

Article 33 The College shall publish the examination results to the students in proper ways. If the students have any objection to the result, they shall apply for checking within the first week of the coming semester.

Chapter Seven Postponement, Supplementary Examination, Re-study and Re-exam

Article 34 The students, who cannot take the final examination for health or other reasons, shall present an application for examination postponement to the teaching office of the college (proof of diagnosis by university hospital or designated hospital shall be attached for health reason). Examination postponement shall be valid after being approved. The postponed examination shall be arranged at the same time with the same examination paper of the supplementary examination of the course, and the result shall be assessed as regular examination. If the students fail to take the supplementary examination, they will be regarded as giving up the postponement voluntarily, and they shall restudy the course.

Article 35 Except for the sole experiment course or practice course or other situations which are not allowed to take supplementary examination, one supplementary examination shall be arranged for all courses with failed students. The students who fail in the sole experiment course, sole practice course or supplementary examination shall restudy the course.

Article 36 The students who are identified as Violating Discipline or Cheating in the final examination shall restudy the course instead of sitting the regular supplementary examination. The students who are identified as Violating Discipline or Cheating in the in the mid-term examination shall be allowed to sit the regular supplementary examination instead of sitting the final examination.

Article 37 If the students are not satisfied with the result, they can apply for one re-examinationThe higher score will be entered into the students final transcript. The re-examination shall be arranged at the same time with the next grade using the same examination paper.

Article 38 Fees shall be charged according to related rules for the re-examination and re-study.
